A campaign sends one approved template to every contact that matches your filters. The wizard has four steps, Template → Personalize → Audience → Send, and saves a draft as you go, so you can leave and come back.

Before you start

  • A template with status Approved for the number you will send from. See Templates.
  • Enough credits: 1 credit per 10 recipients, reserved when you launch. See Campaigns overview.
  • If Restrict to working hours is on in Settings → General, a campaign launched outside those hours waits until the next Working Hours Start. See Workspace settings.

Create and send

Start a campaign

Go to Mass Marketing → Campaigns and click New Campaign. Enter a Campaign name under Campaign details. If you leave it empty, Popcorn names the campaign with the date and time when it first saves the draft.

Template

Choose the Sender phone number; the list shows each number’s daily WhatsApp limit, for example 1K/day. Then pick a template card. Only Approved templates for that number are listed; use Search templates… to narrow them down, or Create new template to leave for the template editor. Changing the number clears your template choice. Click Next.

Personalize

For every variable in the template, choose what fills it: a customer field (First Name, Last Name, Phone Number, Email), one of the example values saved with the template, or a fixed value you type under Add custom value and confirm with Add. The left card previews the message with your choices.If the template has a link button that takes a value, fill Button URL parameter — (button name). See Link buttons and tracking. You cannot move on until every variable and button value is filled; moving to Audience saves the draft.

Audience

Build the list under Audience filters. The first filter is always Subscribed is Yes; click Add filter for more. All filters are combined with And. The footer shows how many contacts are selected, Matching contacts lists them, and Popcorn AI credits required shows Messages, Credits Needed, and Credits Available. If it reads Insufficient credits to send this campaign. Please top up your account., add credits before launching. Filters are saved when you leave this step.

Send

Choose Now (starts immediately) or Later (pick Send date and Send time; the banner confirms the time in your workspace time zone). Leave AI agent follow-up on if you want the AI agent to reply to customers who answer the campaign; turn it off to handle replies yourself in the Inbox. Click Send Campaign or Schedule Campaign.
When the launch succeeds you see Campaign is being sent or Campaign scheduled and land on the campaign page. If the launch fails, the draft stays as it was and the error tells you why, for example that you need more credits.

Audience filters

For Marketing templates, contacts that WhatsApp has repeatedly failed to reach are left out automatically, and contacts without a phone number are never messaged. See Delivery and reachability.

Scheduling rules

  • The send time must be at least 5 minutes ahead and no more than 30 days ahead.
  • Times are in your workspace time zone, in one-hour slots.
  • Credits are reserved when you schedule, not when the campaign starts. A Scheduled campaign can be stopped, which returns the reserved credits.

Daily limit warning

If the audience is larger than the sender number’s daily limit, the Send step warns that the campaign will be processed over several days. Popcorn paces the messages to stay inside the limit. If the limit could not be read from Meta, the number shows Limit unavailable instead of a limit in the Template step; while it is still being read it shows Syncing with Meta…. The campaign can still be launched, but sending waits until the limit is known (see WhatsApp daily limits).

The campaign page

Open any campaign from Mass Marketing → Campaigns. Drafts open in the editor; launched campaigns open the results page, which refreshes every minute. Status in the header: Draft, Scheduled, Sending, Paused, Stopped, or Completed. Scheduled campaigns show Scheduled for (date) (time zone). Below the stats, Template Used shows the template and Audience Filters shows the filters that were applied.

Recipients table

Tabs: All, Sent, Delivered, Queued, Failed, Retrying. The All view shows Sent, Delivered, Opened, Clicks, and Sent At per contact; Failed shows the Fail Reason; Retrying shows Retry # out of 4, Next Retry, and Reason. Click a row to open that customer’s conversation in the Inbox.

Why some messages didn’t deliver

Failures are grouped by cause, each with an explanation and what you can do: Marketing Message Limits (the customer hit WhatsApp’s per-user marketing limit), Contact Issues (number not on WhatsApp or inactive), Rate Limits, Payment Issues (a billing problem in your Meta Business Manager), Template Configuration Errors, and Generic Errors. Use View Failed Contacts to list the affected numbers and Export CSV to download them.

Automatic retries

Messages rejected by Meta with a temporary error are retried automatically, up to 4 times: after 1 hour, then 24, 48, and 72 hours. Per-user marketing limit errors retry once a day. Retrying messages count under Retrying, not Couldn’t deliver, until they succeed or run out of attempts.
